Booking calendar

The Bookings area has two operational views:

  • All bookings is the searchable table and best place to filter or find a customer.
  • Calendar is a month pulse plus a selected-day work queue.

Both are tenant-scoped views of the same bookings. The calendar is a read-only projection; open a booking to change it.

Find work in the booking table

Filter by status, booking type, service, resource, payment state, attention flag, or date range. Attention flags surface approval, payment due, unassigned work, shortages, allocation conflicts, and controlled overrides. Fulfillment is the separate signal described below.

The booking row deliberately shows separate signals:

  • Booking status — request, confirmation, active service, completion, or a terminal outcome.
  • Payment — the linked Sales record's payment state and balance due.
  • Resources — requirements and current assignments.
  • Fulfillment — the shared fulfillment state when physical items apply.

Do not infer one signal from another. A confirmed booking can still have a balance due, and payment does not mean physical fulfillment is complete.

Use the operations calendar

Choose a month and filter by service, resource, or status. The summary counts bookings, milestones, approval/payment attention, shortages, unassigned work, and blackouts.

Select a date, then switch between:

  • Agenda for customer-facing booking work and shared-commerce milestones.
  • Capacity for committed occupancy, ongoing exact-range periods, resource blockers, and blackouts.

Long bookings appear across the days they occupy. Delivery, customer pickup, retrieval, and customer return milestones can appear separately from the booking's start and end. Setup and buffer time affect capacity but do not appear as separate calendar events.

Staff accounts are always limited to actively assigned booking work. Owners and Admins can optionally narrow the view to My assigned work.

Open a booking

The detail page brings together the schedule, customer, delivery, tax address, staff/resource assignments, physical checklist, customer change requests, documents, and canonical Sales/payment record.

Available lifecycle actions depend on current state:

ActionResult
ReserveRechecks policy and capacity for a merchant-created draft.
ApproveRechecks capacity and accepts a customer request.
DeclineEnds a requested booking without claiming capacity.
StartMarks confirmed work Active.
CompleteMarks active work Completed.
RescheduleClaims the new period before releasing the old one.
CancelReleases booking capacity and updates the linked Sales posture where allowed.
ArchiveKeeps a terminal booking as read-only history.

Cancellation does not automatically issue a refund. Review the Sales payment ledger and make the separate payment decision.

Create a booking for a customer

Owners, Admins, and Staff with Bookings operations can choose New booking. Select an existing customer or enter customer details, choose the service and schedule, and run the availability preflight. Fixed-duration services calculate the end from the chosen start and duration.

Saving as a draft does not claim capacity. Reserving or approving is the guarded step that rechecks policy, resources, delivery/tax inputs, and current capacity.
