Fulfillment

Fulfillment tracks what's physically shipped, separately from an order's status. Every order starts Unfulfilled and moves forward as goods go out the door.

The three states

Set the fulfillment state from its dropdown on the order page — separate from the status dropdown. Like status, it moves forward only, and Fulfilled is final: to reverse it, process a return rather than editing the order.

Fulfillment moves your stock

Marking an order Fulfilled removes the sold units from inventory — it draws down both the on-hand and the reserved counts for each item, since those units have now left the building. The available count doesn't change, because it was already reduced when the order was placed and the stock reserved. Partial fulfillment

You can mark an order Partially fulfilled when some items have shipped and others are on backorder. Note that stock is only drawn down when the order is fully Fulfilled — partial fulfillment doesn't yet deduct the shipped items individually, because the admin tracks fulfillment at the order level rather than per line item. Until then, the units stay reserved against the order.

Tracking details

The admin tracks the fulfillment state (the three stages above). It doesn't yet capture carrier or tracking numbers, so share those with customers through your own shipping process for now.

Who can do this

Any team member can view orders. Owners and Admins can change an order's fulfillment state, and so can Staff granted the Orders and fulfillment permission group — once granted, the fulfillment controls unlock for them. Staff without the group see orders read-only. See Team & permissions.
